Job Description

The Applications Administrator oversees the license management, maintenance, and adoption of various business applications, ensuring seamless integration, user support, and process efficiencies. They collaborate with teams to optimize workflows, manage vendor relationships, provide technical documentation and training, and support system updates, troubleshooting, and enhancements.

Essential Duties & Responsibilities

  • Oversee the license management, maintenance, and ongoing adoption of a variety of business/productivity applications, such as, but not limited to, the Microsoft 365 suite of products, SharePoint Online, Salesforce, Contract Management, Policy Management, Incident Management, Smartsheet, Zoom, SurveyMonkey, etc.
  • Periodically meet with other departments/teams to understand their workflow & data needs, level of application adoption, and where you might help them gain efficiencies via training or automation, suggesting feature requests to vendor if necessary.
  • Assist users in the self-service creation of reports and dashboards within native applications.
  • Be an active member of cross-functional teams to plan and deliver solutions that meet business needs.
  • Support the help desk by providing knowledge base articles on how to diagnose and resolve application issues and acting as a point of escalation for complex matters.
  • Open, manage and resolve application issues with external application vendors.
  • Create and maintain technical documentation for applications, including necessary diagrams, installation and configuration procedures, and knowledgebase articles.
  • Plan for, track and advise stakeholders of new releases to ensure feature utilization is maximized.
  • Plan, coordinate, test, and communicate changes, upgrades/maintenance schedules, and new service/functionality with stakeholders, ensuring business operations will run correctly in current and future environments.
  • Coordinate with other IT Administrators to ensure timely upgrades, updates, and patches for applications are applied, and appropriate security controls and audit logs are in place.
  • Create and maintain training material, FAQ's and best practice resources for applications.
  • Maintain current knowledge of application advancements, relevant technologies and business processes to ensure ongoing adoption of best practices.
  • Serve as the primary vendor point of contact and follow vendor management protocols to ensure healthy relationships and clear lines of communication are maintained.
  • Manage application maintenance & support contracts, ensuring management is informed of utilization and renewal pricing in accordance with annual budget schedule.

Required Qualifications

Required Skills:
Understands various business unit workflows as they relate applications. Ability to provide outstanding customer service, be a good listener and work well with diverse group of customers. Excellent problem solving/analytical skills, knowledge of analytical tools, and complex troubleshooting methods. Excellent verbal and written communication skills. Understanding of network and database technologies. Understanding of programming languages. Understanding of HIPAA and NIST security standards. Self-motivated, able to work independently, and takes initiative. Ability to multitask in a fast-paced environment. Outstanding attention to detail with superior time and project management skills.

Required Education:
Four-year technical degree (i.e., bachelors) or equivalent experience required.

Required Experience:
Minimum of 5 years in the field, including 2+ years of hands-on experience managing in-house or 3rd party applications, or an equivalent combination of training and experience. Demonstrated experience working with stakeholders to problem solve and/or improve medium-to-complex workflows. Demonstrated experience in the development/enhancement of business workflows through application enhancement, integration, or process automation. Demonstrated experience as the subject matter expert in moderate to complex applications.

Work Environment & Conditions

Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at a time. This is an in-office position.
