Job Description

Legal Secretary

A well-established law firm is seeking a skilled Legal Secretary to support a single attorney with administrative and legal tasks. This role involves managing time entries, billing coordination, document handling, court filings, and overall workflow management.

Key Responsibilities

  • Deliver dedicated administrative assistance to one attorney
  • Enter daily time records and reconcile with Aderant; maintain accurate timeslip records
  • Partner with the Billing Coordinator to prepare, edit, finalize, and distribute client invoices
  • Draft, edit, and complete legal documents and related correspondence
  • Maintain organized client correspondence files in chronological order
  • Ensure accurate filing and recordkeeping for all client matters and legal documents
  • Prepare and electronically file (eFile) materials with the Connecticut Probate Court
  • Submit check requests and complete expense reimbursement forms as needed
  • Monitor and track phone charges, mobile usage, and related reports for reimbursement purposes
  • Manage attorney’s calendar and coordinate meetings, ensuring advance preparation is handled
  • Handle mailing, copying, emailing, and deliveries via USPS, FedEx, UPS, etc.
  • Review and sort incoming mail for the attorney
  • Willingness to work overtime when required

Qualifications

  • Bachelor’s degree preferred
  • Familiarity with Connecticut Probate Court processes, judicial systems, ePortal, and CSC eRecording is a plus
  • Comfortable using:
  • Microsoft Office (Word, Excel, Outlook)
  • iManage, Olympus, Aderant, GEMS, Westlaw, Lexis/Nexis, ChromeRiver (preferred; training available)
  • Strong organizational habits and keen attention to detail
  • Excellent written and verbal communication skills
  • Ability to multitask, prioritize effectively, and manage time efficiently
